There are three ways to complete grant application forms within a workspace: You can download
PDFs of individual forms and fill them out offline, you can complete forms online within
a web browser, and you can reuse forms from a previous Workspace application.
To download a PDF form, first, click the form's Download link.
If the form is unlocked, a popup window will ask if you want to lock the form.
Click the Yes button, as locking the form will prevent other Participants in the workspace
from updating the form while you are filling it out.
Wait for a few seconds as the form PDF opens in a new window.
Click the Save button under the Form Actions section to save the form to your computer.
Note that the form's cover sheet contains specific information relating to the form,
including the upload count, form state and version number.
Next, begin filling out the form, saving your progress as you go along.
Fields highlighted in yellow and outlined in red are required fields.
When the form has been completely filled out, click the Save button.
Then click the Check for Errors button.
A popup window will list any field errors in the form.
The errors will also be outlined in red on the form.
Finally, fix any fields that require attention, then click Save again.
You are now ready to upload the completed form to your workspace.
You can initiate this process by clicking the Upload link.
Note that if the form is locked by another Participant, the Upload link will not be activated
for you.
To fill out an online form, first, click the form's Edit link.
A new browser window will open containing the form.
You can jump to specific parts of the form by clicking on the Sections menu to the left
of the screen.
As you edit an online form, your changes will be automatically saved every five minutes.
The data and attachments will be autosaved, but the workspace will not be updated until
you click the Save button.
You should still use the Save button often.
Click the Check for Errors button to receive a list of errors or missing data in the online
form.
The errors will specify the section and data field with an error.
Click the Close button when you are done completing the form.
Grants.gov will ask you whether you wish to unlock the form.
Click the Yes button if you want the form to be Unlocked, which allows all other workspace
participants to edit the form.
Click the No button if you want to retain the Lock on the form.
To reuse a form from one of your previous workspaces, first, click the Reuse link.
Next, in the Resue Workspace Form pop-up window, you will see a message stating that the selected
form will be overwritten once you select a form to reuse.
Click Yes to continue.
In the pop-up window, search for the desired workspace form by Workspace ID, Funding Opportunity
Number, Application Filing Name, as well as by status and last uploaded date.
You can preview the desired form by clicking the Preview link in the Actions column.
To reuse a specific form, click the Select link.
You will be taken back to the Forms tab of the Manage My workspace page, and a message
will read, Form Successfully reused.
You can also reuse forms by uploading a PDF form from a previous workspace application.
The form needs to have the same title and version number.
During the upload process, the reused form's coversheet will be updated.
Keep the following tips in mind: Each form's cover sheet will list details
about the opportunity, application package, applicant, form and Workspace.
You can preview a workspace form by clicking the form name in the Application Package Forms
table.
A flat PDF version of the form will appear in a pop-up window.
Required forms that do not contain editable fields still need to be downloaded or previewed
in order to change the form status to "Passed".
In such a case, the preview or download serves as an acknowledgement that the form has been
read.
You are not required to upload the form since no data can be added to the form.
Before uploading a form made up entirely of empty optional fields, make sure you have
clicked the Check for Errors and Save buttons (even though no text has been entered).
The form's cover sheet should read "No Errors" in the Form State field under the
Applicant & Workspace Details section.
Click the Preview Application Forms button to preview a flat PDF of the entire application.
Ensure that your version of Adobe Reader or Adobe Acrobat is up to date before downloading
a form from the workspace.
